CLICK!-Tip

Email a single Excel worksheet instead of the entire workbook

1) RIGHT-click on the tab of the worksheet you want to email (if you want to send more than one worksheet, hold down the Ctrl key and click each one).

2) Click Move or Copy...

3) Change the To book drop-down to (new book), then tick the Create a copy box, OK.

4) The desired worksheet(s) will now be in a separate workbook. Save and name the file, then send via email (click the File menu, Send To, Mail Recipient as Attachment).

Create words with non-breaking hyphens and spaces

Names such as Coca-Cola or Georgia-Pacific should never appear with part of the name on one line and the other part on another (or without the hyphen!). The same applies to your name. There are a couple of easy ways to create required hyphens or spaces between two words.

One Way
Instead of just typing a regular hyphen, hold down the Ctrl and Shift keys, then type the hyphen (or before you hit the spacebar for a required space).

Best Way
Set this up using Word's AutoCorrect feature. With AutoCorrect, you can change it once and it's fixed forever.

  1. Type Coca-Cola with a required hyphen (holding down the Ctrl and Shift keys) between the two words. Then select the text.

  2. Click the Tools menu, AutoCorrect Options. On the AutoCorrect tab, you'll notice Coca-Cola is already in the With box (because you selected it in Step 1).

  3. In the Replace box, type Coca-Cola (with a regular hyphen), Add, OK.

From now on, every time you type Coca-Cola with a regular hyphen, Word's AutoCorrect feature will replace it with the required hyphen.

appraise, apprise

“Appraise” is to assess or determine the worth of something (e.g., a house, land) while “apprise” means to inform or alert someone to something significant. “The real estate agent apprised the owner of his house’s appraised value.”

TECH-Tip

Send an email addressed to Undisclosed Recipients

If you've seen an email addressed to Undisclosed Recipients and wondered how it was done, here are two options.

First Option

When you create a new message, on the To line, type Undisclosed Recipients, and next to that put your email address inside brackets < >. Then see Step 5 below to finish the message. (The recipient of your message will only see Undisclosed Recipients on the To linenot your email address.)

As an editor and manager, I'm inundated with paperwork, clippings, story ideas, resumes and invoices.
Using Peggy's system to restructure my filing cabinet and habits has finally
given me a clean desk.

Second Option (This is what I've done so I don't have to remember anything later)

Create a new Outlook contact:

  1. Full Name: Undisclosed Recipients.

  2. E-mail: Put whatever email address you'll send the email from.

  3. Display as: Undisclosed Recipients.

  4. When you Save and Close the new contact, if you get a message indicating duplication, choose Add this contact anyway.

  1. When you send your email, type Undisclosed Recipients on the To line, and put recipient email addresses on the Bcc line. (If you don't see Bcc and use Outlook as the email editor, click View, Bcc. If you use Word as your email editor, click Options drop down arrow, Bcc.)

The recipient will only see his or her email address when you use Bcc. You can also put a distribution list name on the Bcc line and it works the same way.

Two tips for deleting email messages quicker

When messages arrive in my Inbox, I make decisions right then and deal with each one. I keep my Inbox to one screen and don't worry about things falling through the cracks.

Here are two tips on deleting messages in Outlook 2003.

Turn off the warning, Are you sure? When I hit Delete, I want it gone and don't want to give permission. If this pesky box bothers you, it's easy to turn off.

From the Inbox, click Tools, Options, Other tab, Advanced Options, and untick the box, Warn before permanently deleting items.

Bypass the Deleted Items folder. If you're sure you never want to see the message again (as in spam), permanently delete it so you don't have to delete it twice.

Hold down the Shift key then hit Delete. If you're on an Exchange server, the message can be recovered. Otherwise, it's gone!
