Mail merge in Word 2003 - set it up to work like older versions

If you dread mail merge in Word 2002 or 2003, there is a hidden command you can add to any Word toolbar that, when clicked, starts mail merge the old way. Hallelujah!

  1. In Word, right-click on any toolbar, and click Customize.

  2. Click the Commands tab.

  3. On the left side of the dialog box under Categories, scroll to All Commands, and click it.

  4. On the right side of the dialog box under Commands, scroll down to find MailMergeHelper.

  5. Click and drag the MailMergeHelper icon in between any icon on any toolbar, and drop it.

You will rejoice when you click the button!

Eliminate duplicate contacts in Outlook

You may be experiencing a lot of duplicate contacts in Outlook caused by synching your PDA. It's easy to get rid of the duplicates with the right software. Send document as an attachment from Word 2003

Are you using Word 2003 and haven't been able to email a document using the Send To command (under the File menu)?

  1. Click the Tools menu, Options, the General tab.
     
  2. Tick the box next to Mail as attachment, OK.
     
  3. You may have to close Word and reopen it for the change to take.

For added convenience, customize your toolbar and add this button to it.

Piling Up?

I travel a lot and collect business cards. The first thing I do when I return home is purge the stacks. Then I turn those business cards into digital contacts with my business card reader (Card Scan). You'll love it as much as I do. Using Outlook categories

Adding categories to your Outlook appointments, contacts, and tasks makes it easy to filter them using specific criteria, pulling up only what you need. (When you create a new appointment, contact, or task, the Category text box is at the bottom, right of the dialog box).

CALENDAR
I've assigned a category to each of my speaking appointments for the state I'll be in (I use the 2-letter designation for each state). When a meeting planner calls me needing to know the next time I'll be near her, I can easily pull up every appointment I have in that state (and surrounding states) using the Advanced Find feature.

CONTACTS
If you add categories to your contacts, you can customize the view to show only contacts that meet a certain criteria. Then with mail merge (from Outlook or Word), you can create personalized letters, email messages, mailing labels, directories, reports, etc.,  just to those contacts. (Next year, make it easier to create your mailing labels for holiday cards. See the Nov 2003 issue of COPE for help with this.)

TASKS
You can also create categories for your tasks. One of my categories is named "Travel." The first word of the description is a city name, followed by the details. I use this category to keep up with people I need to contact when I travel to a certain city. For example: The next time I go to Chicago, I'll call Joe. I added it as a task under the Travel category because I have no idea when I'll go to Chicago again (hence, I couldn't put it in a tickler file, on my calendar, etc.).

To check the Travel category, I change the current view of my tasks to display all categories together. Every task assigned to the Travel category is grouped, and it's easy to find Chicago and the details about calling Joe. I'm in the habit of checking this Travel category every time I schedule a trip.

You could also categorize tasks if you've grown accustomed to prioritizing work using the A-B-C method. Create categories for each (Category A, B, and C), and assign one to each task. Then you can view your list and see all your tasks in prioritized order.

Discover the power of 3x5 cards

Do you ever feel overwhelmed by all there is to do and all that’s on your brain?  It’s so important when you feel overwhelmed to STOP and regroup. That feels counterintuitive to us since when we feel stress the logical thing is to try and work harder. But that’s not what you should do. Take time to think about all that has to be done.

Go out and purchase some really cool colored 3x5 index cards. When you feel overwhelmed take out the cards and write down one thought on each card.  Perhaps one says go to the grocery store, another says call Mary, and another says clean out e-mail inbox. Keep going until you feel like your brain is completely drained.

Then look at all the cards and ask yourself “What is the most efficient use of my time right now?” Take that card and turn it over. Then ask “What’s the 2nd most important thing to do?” Take that card and turn it over on top of the 1st card. Keep going until all the cards are turned over. Then flip the pile over and you have your thoughts in a logical order and in the priority in which they should be done.

When you’re on the road:

Take 12 - 3x5 cards and clip them with a small colored binder clip – keep in your purse or pocket. As you’re out and about and think of things that you need to do write one item per card. When you get back home or to the office, put them in your “In” basket and you won’t have to try and remember all those great things you thought of when you were out.
